GCC Spend — Privacy Policy

About This App

GCC Spend is a personal expense tracking app. It helps you record, categorize, and analyze your daily spending using receipt photos, SMS and email screenshots, and voice entry.

GCC Spend does NOT connect to your bank accounts, does NOT transfer money, and does NOT provide regulated financial advice. All spending insights are informational only.

What Data We Collect

• Account information: your email address and display name. You may also use the app as a guest (an anonymous account with no email), and create a full account later.
• Receipt data: merchant names, amounts, dates, categories, item details, and any tags you add — entered or scanned by you.
• Images: receipt photos (and SMS/email screenshots) you scan. Receipt photos are stored securely in your account (Firebase Storage) so you can view them later, and are deleted when you delete the receipt or your account.
• Voice recordings: when you use voice entry, a short audio clip is recorded and sent for transcription, then discarded — it is not stored after processing.
• Crash & diagnostic data: if the app crashes, basic error and device information (e.g. device model, OS version) is sent to our crash-reporting provider to help us fix problems.
• Feedback: messages you send through the in-app feedback form.
• Device preferences: app settings and recently used tags stored locally on your device (not sent to any server).

How We Use Your Data

• To provide expense tracking, budgeting, and reporting features.
• To process receipt images and voice recordings using AI (sent to our secure backend; the raw image/audio is not stored after processing).
• To diagnose and fix crashes and errors.
• To improve app features based on your feedback.

We do not sell, share, or trade your personal data with third parties for marketing purposes.

Where Your Data Is Stored

Your data is stored securely in Google Firebase (Firestore database and Firebase Authentication), hosted on Google Cloud servers. Firebase complies with industry-standard security practices.

Device preferences and learned categorization data are stored locally on your device and are never transmitted to our servers.

AI & OCR Processing

When you scan a receipt or use voice entry, the image, screenshot, or audio clip is sent to a secure backend (Firebase Cloud Functions) which uses OpenAI's API to extract structured data (and, for voice, to transcribe your words). The extracted data (merchant, amount, items) is saved to your account. The copy sent for AI processing — and your voice audio — is not retained by the AI provider after processing. Receipt photos you save are stored securely in your account so you can view them later, and are removed when you delete the receipt or your account.

Third-Party Services

We rely on a small number of trusted service providers to run the app:

• Google Firebase — authentication, database storage, and hosting of our backend functions.
• OpenAI — processes receipt images and voice recordings to extract expense details and answer spending questions.
• Sentry — receives crash and diagnostic reports so we can fix problems.
• Resend — delivers in-app feedback you submit to our support inbox.

These providers process data only to deliver their service to us, and not for their own marketing.

Your Rights & Data Deletion

• You can delete all your data at any time from Profile → Delete Account.
• Deleting your account permanently removes all receipts, budgets, and feedback from our servers.
• Local device data is also cleared on account deletion.
• You can export your data before deleting (Profile → Export Data).
• Guest accounts: data added as a guest is tied to that anonymous session. Create an account to keep it, or it is discarded when the guest session ends.

Children's Privacy

GCC Spend is not directed at children under 13. We do not knowingly collect data from children.

Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be reflected by the "Last updated" date above. Continued use of the app after changes constitutes acceptance.
